Take a moment to review these important action items and legal notifications for your US Benefit plans.

2021 Flexible Spending Accounts Claim Submission Reminder

All claims incurred in 2021 must be submitted to TRI-AD [VMware network access required] by March 31, 2022 for processing.

2021 Rollover – For the 2022 plan year only, General Purpose and Limited Purpose FSA plans will carry over to to use in 2022. You will have the full year to use any 2021 carry over and 2022 elected FSA funds. For the 2022 plan year, the normal IRS Rollover and “Use It or Lose It” rules will apply rolling into the 2023 plan year.

Your medical election from your 2022 Open Enrollment impacts what type of Flexible Spending Account your Carryover FSA money will be rolled into for 2022:

You may check your 2021 FSA account balances with TRI-AD [VMware network access required] or by calling Customer Service at 1-888-844-1372, Option 2, Monday through Friday 5:00 am to 6:00 pm PT.

Health Savings Account (HSA) Contributions

The 2022 plan year employer contribution into the HSA will process with the first regular January payroll. If you missed submitting your HSA contribution during Open Enrollment, you can update that information in the New Year with a Change HSA event. See the quick reference guide for instructions.

If you are a new participant to the HSA, you may need to take additional identification verification steps associated with the USA PATRIOT ACT of 2001. If you are experiencing problems accessing your account, our account administrator, Health Equity, may need to collect additional information from you as part of their Customer Identification Program (CIP). They are available 24/7 at (866) 3296-2857.

Form 1095 and ACA Required Dependent Information

Federal reporting requires VMware to have every dependent’s full legal name, date of birth, and Social Security Number on file. Please review both you and your dependent’s information within Workday [VMware network access required].

To review your dependent information, sign into Workday [VMware network access required] and click the ‘Benefits’ icon from the homepage. Under ‘Change’ select ‘Dependents.’ Click ‘Edit’ next to the dependent whose details you would like to review/change. Make any necessary changes and click ‘Submit.’ If you do not have any changes to make after reviewing click, ‘Cancel.’

You will receive your Form 1095 on or before the IRS deadline of March 2, 2022.

As part of VMware’s commitment to sustainability we are requesting that you opt-in to receive your Form 1095 electronically. To opt-in, login to Workday [VMware network access required] and click the ‘Benefits’ icon from the homepage. Under ‘Change’ select ‘1095-C Printing Election’. Select ‘Receive electronic copy of 1095-C’ and click ‘Ok’ and ‘Done’. The deadline for opting-in is Thursday, February 11, 2021.

Update Beneficiaries

Now is the perfect time to review your beneficiary designations for your benefit plans to ensure they are up to date. Update your HealthEquity (HSA), Fidelity (401(k) and Non-Qualified Deferred Compensation Plan) and E*TRADE (stock) accounts via the providers website.

You may update your Basic Life, Supplemental Life and AD&D beneficiaries via Workday [VMware network access required].

Confirm Your Personal Information & Emergency Contacts

VMware has requirements to mail important documents to your home. Take a moment to ensure your home address is correct in Workday [VMware network access required]. For assistance with updating your personal information, review the Change My Contact Information [VMware network access required] quick reference guide. Please note, any changes will be sent to all VMware benefit vendors (except E*TRADE) 1-2 weeks after you have submitted the update.

To update you address with E*TRADE, log in to your account, hover your mouse over the Accounts title on the top left of your screen and select My Profile, then select View/Edit next to Mailing Addresses.

Qualified Life Events

If you experience a qualified life event (marriage/domestic partnershipgain/loss coverage, etc.) you have 30 calendar days from the date of the event to report it and make changes to your benefits coverage. For a birth/adoption event you have 60 calendar days from the date of the event to report it and make changes to your benefits coverage.
